Design to execution: clarify who is responsible for what

Before work starts, agree who prepares the design, coordinates specialists, manages daily site work, approves changes and checks completion. Record the people, deliverables and decision points in your project scope. A broad service description needs a project-specific agreement.

Turn the service description into a working agreement

Ask the studio to walk through the project from brief to handover. For each stage, identify what you receive, who prepares it, what you approve and what allows the next stage to begin. Include exclusions and work that requires a separate appointment.

The Council of Architecture’s comprehensive-services guidance distinguishes drawings and coordination, specialist work, periodic site inspections and daily supervision. Use these distinctions to ask precise questions. A visit schedule and daily site management should both be addressed in your appointment; the reference does not establish your studio’s contracted scope.

Clarify the drawings and specialist input

A perspective image helps you discuss appearance. Ask which drawings and specifications will guide the people carrying out the work, how revisions will be identified and who distributes the current versions. Make sure the scope explains how architectural decisions connect with structural and building-services design where needed.

Ask who appoints each specialist, who coordinates their information and who answers questions within their discipline. For an existing building, identify who investigates conditions affecting proposed changes. Resolve these scope questions before the affected work proceeds.

Name the people managing the site

Ask who is accountable for daily coordination, labour, material deliveries, site access, protection of existing property and communication with the owner. Clarify the contractor’s work and the responsibilities of any supervisor or construction manager in the agreed arrangement.

Agree how design questions reach the architect and how instructions reach the people doing the work. A family member’s conversation with a worker should not silently become a revised design. Keep one channel for decisions and one person responsible for recording them.

For projects away from Bengaluru, discuss travel, site involvement and local coordination specifically. The project location belongs in the scope discussion alongside the work and the information available.

Establish a change process

Use a written record when an owner request or site discovery changes the work: what changed, why, which drawing or item it affects, and the proposed cost and timing implications. Identify who must review and approve it before implementation.

For example, moving a kitchen sink may involve more than a cabinet drawing. Ask the team to explain the affected work before agreeing to the move. This is a coordination example; it does not establish that a change is suitable for your property.

Also agree what happens when work reveals missing information. Who reports the issue, who decides whether investigation is needed, and which affected activity waits for a decision?

A responsibility checklist to discuss

  • Who is your contact, and who can approve owner decisions?
  • Which drawings, specifications and revisions are included?
  • Who appoints and coordinates the required specialists?
  • Who manages the site daily, and what inspections are agreed?
  • Who handles procurement, access, site protection and scheduling?
  • How are changes recorded, assessed and authorised?
  • What completion checks, documents and follow-up are included?

Define completion before the final stage

Agree how outstanding items will be listed, assigned and checked. Ask which records you receive, such as relevant drawings, product information or warranties where included. Clarify the route for reporting an issue after handover and the terms that apply.
